Job Description

Pay: $21.50 - $26.50 per hour

Location: Primarily on-site in Southampton, New Jersey, with the opportunity to work one day from home.

Note: To be considered, candidates should have relevant coordination or operations experience tied to mitigation, restoration, construction, plumbing, or HVAC environments, along with permanent U.S. work authorization.

Job Description

  • Coordinate mitigation projects from intake through completion to keep jobs moving smoothly and on schedule
  • Support Project Managers and operations leadership with day-to-day administrative and project coordination tasks
  • Maintain accurate job files, notes, documentation, work orders, and purchase orders
  • Track schedules, appointments, workflow updates, and project milestones from start to finish
  • Communicate clearly with customers regarding arrivals, scheduling changes, delays, and next steps
  • Coordinate with vendors, insurance contacts, clients, and internal teams throughout the project lifecycle
  • Assist with billing support, collections activity, deductibles, progress payments, and final payments as needed
  • Prepare and update reports, dashboards, and operational tracking documents
  • Answer inbound calls and respond quickly and professionally to client and vendor inquiries
  • Help ensure the office and field teams stay aligned during fast-moving mitigation and emergency response work
  • Represent the company with professionalism, urgency, empathy, and strong attention to detail

Qualifications

  • 2+ years of project coordination, service coordination, office operations, dispatch, or administrative support experience
  • Experience in mitigation, restoration, construction, plumbing, HVAC, or a similar field environment preferred
  • Strong organizational skills and ability to manage multiple moving pieces at once
  • Excellent written and verbal communication skills
  • Comfortable working with job tracking systems, project documentation, and reporting tools
  • Power BI experience required
  • Strong attention to detail, reliability, and professionalism
  • Associate's degree preferred; Bachelor's degree is a plus
